Check Points & Approvals

I will submit work progress for approval at various stages throughout the project. The client will be able to approve ​each deliverable before I proceed with the remaining deliverables (for instance, I’d seek approval of branding before ​moving on to website design).


Timeline

We will agree upon an acceptable start and end date for the project. The client will provide any necessary ​information or materials (if applicable) prior to the project start date (e.g., basic business information, which services ​are provided, any particular preferences or specifications, etc.), as well as approvals and final payment in a timely ​manner.


Payment

Upon proposal acceptance, a 10% deposit invoice will be issued for projects > $1000 and is due upon receipt and ​prior to work commencing on the project. This fee is refundable so long as work on the project has not yet begun. ​Once the project begins, progress invoices will be issued on a percentage of work completed basis OR a final invoice ​will be issued when all work is completed. Invoices are payable via e-transfer within 30 days of receipt unless ​otherwise stated. Overdue accounts will be charged a late fee of 2.5% per month.


Costs and fees for business-related items (e.g., font licensing, domain registration, hosting platform subscription, ​etc.) are always the client’s responsibility.


Cost Overages/Changes

Estimates are calculated based on previous projects of similar scope and scale, in addition to details provided by the ​client. Every effort is made to account for possible variables in scope, however, there may be occasions where the ​original scope and estimate requires adjustment. During your project, the following processes will be followed to ​ensure financial transparency:

  • Budget Range: Line items in an estimate may include a cost range, with the lower number as the initial target. ​Should the scope or base budget need to increase, the client would be notified and we would adjust accordingly.
  • Change Order: Should the scope of a line item change, details would be provided in an email or written change ​order for approval prior to moving forward.


Final Design Approval

Upon approval of the final designs, the project will be considered complete. Any modifications requested after this ​approval will fall outside the scope of the original agreement and will be subject to additional fees, which will be ​discussed and agreed upon prior to commencing further work.


Font Licensing

While my brand design services include the selection of appropriate fonts to match your branding, the cost of ​acquiring any necessary font licenses is not included in my fees. In cases where commercial font licenses are ​required, the client will be responsible for these costs. I will inform you if/when a font may require a license (e.g., a ​webfont license for use of a custom font on your business’s website).


Use of Licensed Images and Design Assets

As part of my design services, I may incorporate licensed images, design elements, or other assets from third-party ​platforms (such as Canva Pro) into your project. These assets are used under a license agreement between myself ​and the platform, and are integrated into the final design to meet your specific project needs. You, as the client, are ​granted the right to use the final design in the agreed-upon context (e.g., on your website or other specified ​materials). However, any individual images, design elements, or assets sourced from third-party platforms remain the ​property of their original creators and are not to be extracted, repurposed, or used outside the scope of the final ​project without proper licensing directly from the third-party platform. By accepting these terms, you agree that:

  • Non-transferability: You do not own the individual images or assets used within the design, and they cannot be ​used in any other projects or outside of the intended context (e.g., beyond the design or website) without ​acquiring an appropriate license.
  • Attribution and Usage: Where necessary, attribution may be required for specific images, and I will provide the ​relevant details if needed.
  • Compliance: Any misuse or unauthorized redistribution of these assets will be your responsibility, and you agree ​to comply with all licensing requirements as stipulated by the third-party platform (e.g., Canva Pro).


Liability

While I take every care to ensure the quality and compliance of the designs I create, it is important to understand ​that I cannot be held liable for any claims, damages, or legal issues that may arise from the use of these designs ​once they are in the client’s possession. By approving the final work, the client agrees to assume responsibility for its ​use and to indemnify me from any related liabilities.
